Running the day-to-day workings of the office, you will work closely with all parts of our organization, including collaborating with our worldwide teams. Your focus will be owning all the office administration duties. The truth is you will be the glue that keeps us together every day. There will be no task too small for your attention as you are the person that loves to nurture relationships and maintain operations. You are the type of person that is welcoming and can anticipate needs before others even know what they are. Your reach will extend beyond our daily facilities management needs, you will also assist in the planning of fun work events and meetings as well as help us to maintain our awesome company culture.   
 
You are an outgoing people person by nature with an experience in either Office Management/Event Planning. You don’t mind getting your hands dirty with the day-to-day running of the office answering phones, greeting visitors, keeping the kitchen orderly, copier/printer surgeon, and planning company lunches. You realize you are an integral part of keeping the energy of the office humming. 


Responsibilities:
  • Manage the day-to-day operations of the office, copying, filing, ordering supplies and snacks/drinks for the office
  • Maintain a clean environment for all visitors to ICS and employees
  • Sign for, receive, and deliver all packages and assist with shipping packages
  • Plan and organize events for the office, both on and offsite
  • Welcome guests upon arrival and direct them as necessary
  • There is a potential of some light lifting of boxes and equipment
  • Manage and maintain relationships with vendors
  • Work with IT on set up of company meetings
  • Work with IT on set up of employee equipment
  • Receive, track, and manage customer equipment
  • Help manage any offsite and onsite training for engineering clients
  • Answer incoming calls and direct them to the appropriate department
  • Schedule onsite interviews with candidates and update interview team calendars (Gmail, Outlook, etc.)
  • New hire onboarding: Greet new employees, complete paperwork assigned, and order any required desk supplies.

Requirements:
  • 2-5 years in an office environment
  • Strong poise in communicating with all levels of the organization and externally with customers and partners, both on the telephone and in person
  • Moderate to Expert Experience with Google Suite and Microsoft Office Suite (Word, PowerPoint, Excel)
  • Exceptional organizational skills and ability to multitask
  • Professionalism, maturity, and ability to coach and counsel employees as necessary
  • Excellent attention to detail
